Terms & Privacy
HorseDay Training & Care, Events and Management
In this privacy policy you will find information about us, how we process personal information, for what purpose and with what authority, what types of information we process, who can see it, how long we keep it and what your rights are. We also explain where information comes from, how we protect it, how you can contact us and how this policy may change.
This policy covers the HorseDay training and care app ("Training & Care"), HorseDay Events, HorseDay Management, the Orri assistant, and the related websites and shared account functions through which these services are provided (together, the "services"). It applies to users and to other people whose personal information appears in horse, training, care, competition, breeding-show, foal-show or administrative records. These include owners, breeders, riders, trainers, judges, event staff, invited contacts, parents, guardians and children. The information we process depends on the features you use and the records in which you appear.
About us
We are the Icelandic company Horseday ehf., Bjarkarheiði 15, 810 Hveragerði, Iceland ("HorseDay", "we" or "us"). You can contact us at horseday@horseday.com.
HorseDay is the controller of personal information where we decide why and how it is processed. This includes our own Training & Care service, shared accounts, the Orri assistant and our competition-information service, which publishes competition, breeding-show and foal-show results.
Sometimes we process information only on an organisation's documented instructions. Examples are event registrations, foal-show entries an organiser imports, and club records for an organiser or club. That organisation is then the controller and HorseDay acts as its processor. That organisation's privacy information also applies to its processing.
How do we process information about our users in our services?
Training & Care lets you record information about yourself and the horses you manage or have access to. This covers riding, training, grooming, care and horse health. You can upload photographs and share information with other users. It also provides team invitations and access to relevant WorldFengur information.
Events lets people view and follow competitions, breeding shows and foal shows, see results and profiles, register riders and horses, submit audience scores, search, and ask the Orri assistant about competitions. Management supports organisers, judges and administrators. They use it to run events and foal shows, assign staff and judges, administer entries and judging, check club membership and judge licences, and keep entry-fee records.
We receive information from users and their devices, from other people involved in caring for horses or running events, and from horse, competition, breeding, licensing and membership systems. We store imported records even where the person concerned has not created a HorseDay account. Claiming an imported rider or judge profile links that record to the correct account. A shared account can be used across HorseDay services. Creating or linking an account does not override the display rules for hidden profiles and under-18 riders below.
What is the purpose of our processing of your information?
We process personal information to provide and administer the services you use. This means we:
- maintain accounts;
- record and review rides, training, care and horse information;
- support sharing and team invitations;
- identify the correct horses and people;
- manage competition registrations, eligibility and judge assignments;
- operate judging and check judge licences;
- publish competition, breeding-show and foal-show results and histories;
- provide rider and judge statistics;
- answer questions through the Orri assistant;
- administer entry fees;
- deliver updates you request.
We also use information to maintain security and reliability, understand use of the services, resolve profile claims and disputes, honour requests to hide a profile, and meet applicable legal obligations. Where you opt in, we use your contact details and preferences to send offers or other marketing communications.
We limit the information we process to what is adequate, relevant and necessary for each purpose. Information needed to provide a training feature or administer an event is not automatically necessary for public display. This policy does not make every category of information available across every feature or to every other user. Sharing training and care records is distinct from publishing competition results.
With what authority do we process your information?
The legal basis depends on the purpose of the processing. The bases below concern processing for which HorseDay is the controller. They are provided for in Article 9 of Icelandic Act No. 90/2018 and Article 6 of the General Data Protection Regulation (GDPR).
Performance of a contract. We process information necessary to provide a service under a contract with you, or to take steps you request before entering into one. This includes your account, the recording, storage and sharing functions you request for your own training and care information, and registration, account-linking, audience-voting, Orri and notification functions. This basis covers only processing objectively necessary for that service. A contract with an owner, trainer, organiser or parent does not, on its own, make processing of another person's information contract-based.
Legitimate interests. We rely on legitimate interests in:
- maintaining accurate horse, competition, breeding-show and foal-show records;
- supporting owners and trainers in managing training and horse welfare;
- matching identities and preventing duplicate or mistaken profiles;
- carrying out necessary event, judging and membership administration, including checking judge licences.
For our competition-information service, these interests include publishing tournament, breeding-show and foal-show results and horse histories, and providing rider profiles, statistics and judge-score comparisons. This is always subject to the hidden-profile and under-18 rules below. We also have legitimate interests in necessary account security, technical reliability and resolving disputes. These interests must not be overridden by the interests or fundamental rights of the people concerned, particularly children. Your right to object is explained below.
Legal obligations. We process information where necessary to comply with obligations that apply to us. These include bookkeeping requirements and obligations concerning data-protection rights. This does not mean that all competition records are legally required to be retained.
Consent. We ask for separate consent where processing requires it, including optional marketing and non-essential analytics or similar tracking. The request identifies the purpose and the choice available to you. Agreeing to these terms in the app is not consent to every use of information. Refusing optional consent does not prevent use of unrelated features. You may withdraw consent without affecting the lawfulness of earlier consent-based processing.
We record when you agreed to these terms in the app and which version you were shown.
We use national identification numbers, such as kennitala or personnummer, only where necessary for reliable identification and an appropriate purpose. Examples are matching federation profiles and club membership, and working out whether a rider is under 18. Icelandic kennitala use is also subject to Article 13 of Act No. 90/2018. National identification numbers and dates of birth derived from them are never shown in public rider or judge profiles.
What types of information do we process about you?
Depending on how you use the services and the records in which you appear, we process the categories below. Not every category applies to every person.
Accounts and information shared across services
Identity, contact and optional profile information. We process your name, email, account and profile identifiers, and a profile image where you provide one. In Training & Care you may also provide an optional phone number, gender, date of birth, country, description and role. We use these details to maintain and identify your account and display the profile information you choose to provide. For competition and membership functions we also process national identification numbers where held, federation identifiers and the source of the record, to match the correct person. A linked account's name and image may appear on a competition profile, unless the profile is hidden or the hidden-profile or under-18 rules prevent it.
Account and authentication information. We process what the sign-in method you use needs: an account identifier and authentication credentials. In the shared authentication system this includes Google or Apple identifiers and tokens, or a hashed password for email sign-in, email-verification status, one-time codes, password-reset tokens, session tokens with their expiry, and the IP address and device type a session was opened from. Where Facebook sign-in is available in Training & Care, that provider's privacy information also applies. We use these details to authenticate you and keep your account secure.
Training, care and sharing
Training and care records. We process what you enter about riding, training, grooming, care and horse health, the horses those records concern, and links to the relevant account or other identifiable people. We use this to record and review activities, keep the horse's history and support the sharing you choose. Horse health records concern the animal. References to an identifiable person within them are handled as personal information.
Location and ride information. We process device location to record riding routes and to remind you to start ride tracking, where you use those features. Recorded routes can reveal where a rider has been and places associated with them, so we treat them as personal information. Recording can continue while the app is in the background or the screen is off. Drafts, recordings and selected media can be stored on your device and uploaded when a connection is available.
Motion-based ride analysis. When you record a ride, the app may also collect motion-sensor readings, orientation, timing and device-quality information to estimate movement and gait. These readings can be stored on the device while offline and uploaded with the saved activity. They are linked to that recording and account and handled with the ride information. We use them to provide, test and improve ride analysis.
Contacts and team invitations. Where you use contact-based invitations, we access your device contacts to help you invite people to your team. We process the invitation and team-access information to provide that function. Your permission to use your contacts does not mean the people in your address book agreed to receive marketing. The native Android Training app uses HorseDay team records for invitations and does not read your phone's address book.
Images and image-library access. We access your image library to upload photographs to horse profiles, rides and training sessions. We process the photographs you upload and the record they belong to. A photograph that identifies a person is personal information. Images and videos may carry location or other embedded metadata.
Horse, team and sharing relationships. We process the horses you register as yours, other horses you can access, and team or sharing relationships. Sharing an account across HorseDay does not by itself give another person access to your training records.
AI assistants
Training assistant. When you use the AI training assistant or planning features, we process your messages, the conversation history and training context to generate responses and suggestions. Context can include your profile, horses, recent activities and training goals. Conversations may be stored so you can return to them.
Orri, the Events assistant. Orri answers questions about competitions, results, riders, horses and judges. We process your questions, Orri's answers and the conversation history, linked to your account, so you can return to earlier conversations. We also log when you ask, to apply fair-use limits. Orri's answers are built from the same published competition records the Events app shows, under the same rules: Orri cannot open hidden profiles or the profiles of riders who may be under 18, and gives no statistics about them. You can delete your Orri conversations at any time.
For both assistants, your input and the relevant context are sent to HorseDay and to the AI providers named below. Answers are generated automatically and can be wrong. They are not decisions about you.
Voice dictation and local weather. Optional voice dictation uses your device's speech-recognition service once you allow microphone access. That service may process audio on remote servers. Training-plan weather suggestions may use an approximate location derived from the network request.
Competitions and administration
Roles and membership information. We process competitor, judge, organiser and administrator roles; event-staff assignments; role requests and their explanations; and club, membership, age-group and division records. We use these to administer permissions and eligibility and to apply the under-18 rules.
Judge licences. For judges we process licence type and level (for example district, national or FEIF judge for sport, or club or national judge for gæðingakeppni), country and season, taken from the published lists of the Icelandic Equestrian Association (LH) and the gæðinga judges' association. We use them to show licence badges to organisers and check that an assigned judge holds the licence an event requires. We do not store judges' phone numbers or emails from those lists.
Guardian and child information. A child's restricted administrative profile, the parent's or guardian's profile, and the relationship between them. We use these so a parent or guardian can manage the child's participation and registrations. These administrative records are never public profiles.
Registration information. Events and classes entered, the rider and horse entered together, who submitted the registration, quoted fees and registration status (confirmed, withdrawn, scratched or absent). Organisers can also enter a rider by name without a HorseDay profile, for example a visiting guest. We use this to administer participation, eligibility and start lists.
Competition and judging information. Start lists, judge assignments, scores, marks, comments, cards and penalties, placements and historical results back to 2004. Derived information includes rider statistics, rider-horse partnerships, rankings, league standings, championship titles and comparisons between a judge's marks and the panel average. We use these to run competitions, publish results and provide histories and statistics. Imported official results are recorded as supplied. Statistics are generated from the underlying records.
Breeding-show information. For each horse shown: its identity, age class, sire and dam, the rider, the owners and breeders with their ownership shares, measurements, scores and the judges' comments on each trait. For each show: its judges, show manager, measurer and other staff. This information comes from WorldFengur. We use it to publish breeding-show results and horse histories.
Foal-show information. For each foal or young horse entered: its identity, birth date, sire and dam, owner and breeder, the judge's name, scores and comments. Organisers import entries from their registration system (such as Sporti). Contact details in those files stay on the organiser's computer and are never sent to us. We use this to run the show and publish its results.
Audience scores. The scores a signed-in spectator submits, linked to their profile and the performance scored, and the resulting audience totals. We use these to show an audience result next to the official one.
Financial information. Entry fees, charges, payments, refunds and waivers linked to registrations. We use these to administer fees and keep the required financial records.
Claim and administrative records. Profile claims and merges, their dates and status, disputed or reversed claims and who resolved them; requests to hide a profile and how they were handled; and creation and update times. We use these to link accounts to the correct imported records, investigate mistakes and keep an audit trail.
Preferences, diagnostics and linked horse information
Preferences and notifications. App settings, notification and email preferences, the riders, horses, classes or events you follow, and device notification identifiers (push tokens, notification-device IDs and platform). We use them to deliver the results, placing and schedule updates you ask for. Notifications follow the same display rules as the information they contain.
Technical, usage and diagnostic information. Device identifiers, IP addresses, session and user-agent information, how you use the apps, the screens you visit and actions you take. Diagnostics can include crashes, freezes, startup performance and power use. In Events, usage analytics include profile views, follows, registration steps, advertisement clicks and statistics interactions; search events record the length of a query, not its text. Native Android Training removes raw account identifiers, messages, precise location and request content from automatic crash reports. Server diagnostics are separate and can contain request and error context. When you send feedback, we process your message, attachments and app or device details.
Horse-related information. Horses you register or access, their names and FEIF/WorldFengur identifiers, pedigree, breeding assessments, breeding-show and competition results. Information about a horse is not personal information merely because it concerns an animal, but links to an identifiable owner, breeder, rider or trainer can be. Horse profiles show the horse's competition results, except rides by riders who may be under 18.
Marketplace and farm directory. Where a horse is listed for sale or a breeding farm is listed in our directory, we process the contact name, email and phone number the seller or farm supplied, and display them so buyers can get in touch.
Who do we share your information with?
Other users, teams and people caring for a horse. Training & Care lets you share with other users, including people involved with the horse or team. Who can see a record depends on the horse-access arrangements and sharing settings that apply to it. A shared ride or image may reveal information about the people involved, including a route or location. Check the audience and content before sharing.
Public competition information and private training records are different. A horse appearing in public results, or a rider having a public profile, does not authorise publication of private training routes, care entries, contact information or account credentials.
The public. Our competition-information service publishes:
- participant names and club affiliation;
- entries and start lists, and the rider-horse pairs entered;
- horse identifiers, results, marks, placings and competition history;
- breeding-show and foal-show results, including the owners, breeders and riders recorded with them;
- rider profiles and statistics, subject to the rules below;
- judge profiles, licences, assignments, score comparisons, comments and cards.
Public information can be viewed without a HorseDay account, including from outside Iceland. Some features, such as search and Orri, require you to be signed in, but show only what is public. We never include national identification numbers, dates of birth or personal email addresses in public profiles. Information made public can be copied by others; that does not remove our obligations for information we control.
Riders who may be under 18
Riders who may be under 18 have no public rider profile on HorseDay. We treat a rider as possibly under 18 if:
- their national identification number shows they turn 18 or younger in the current calendar year (age is counted by calendar year, as LH does); or
- where we hold no usable national identification number, they have competed in a children's or youth class (pollaflokkur, barnaflokkur or unglingaflokkur, or the equivalent abroad) in recent seasons.
Competing in an adult or ungmenna class does not change this. The protection ends on 1 January of the year after the rider turns 18 (or once no recent youth start remains).
For these riders:
- their name, club, horse and published result appear in the start lists and results of the events and classes they rode in, as the official record of the competition;
- there is no rider profile page, no statistics, rankings or comparisons, and they cannot be followed or found in search;
- their rides are not listed on horse profiles and are left out of judge statistics and rankings;
- in world rankings and audience standings their row is kept without a link to a profile, and audience scores for their rides are not broken down;
- Orri does not describe or compute anything about them beyond the published results;
- their imported profile cannot be claimed by an account until the protection ends.
Hidden profiles
Any rider can ask us to hide their public profile. This is how you exercise your right to object to the publication of your profile and statistics, and you do not need an account or a reason beyond your own situation. Ask from the app where available, or write to horseday@horseday.com.
We verify that the request comes from the person concerned (or their guardian), then decide it within one month. A hidden profile is treated like that of a rider under 18:
- the rider profile page, statistics, season and ranking pages are removed;
- the rider is removed from search and cannot be followed;
- ranking rows no longer link to the profile.
Your name and results remain in the start lists and results of the events you rode in, because they are part of the official record of a public competition. A later import from Sportfengur does not undo a hidden profile. If you also want a result itself changed, contact the organiser or the Icelandic Equestrian Association. You can ask us to make your profile public again at any time.
Event and club administration. Organisers, judges, assigned event staff and club administrators use the information relevant to their tasks, such as registrations, judging, membership checks, judge licences and fee records. Their processing may also be covered by their own privacy information. Non-public administrative records about competitors under 18 are limited to the competitor, an authorised parent or guardian, the people who need them for the event or club activity, and HorseDay staff and providers where necessary.
Service providers process information on our behalf; they are listed under "Who processes information on our behalf?" below.
Where is your information processed?
Our competition database is hosted by Neon in London, United Kingdom, outside the European Economic Area (EEA). The United Kingdom benefits from a European Commission adequacy decision for transfers within its scope. Other providers, including the AI providers behind the Training assistant and Orri, may process information in other countries, including the United States. We do not promise EEA-only processing.
Transfers outside the EEA must be covered by an adequacy decision or another valid transfer mechanism under the GDPR. Where safeguards such as standard contractual clauses are used, you may contact us for information about them and a copy, with necessary redactions.
For how long will we keep your information?
Retention depends on the information, the feature and the reason for processing it. We keep personal information only as long as those purposes need, taking account of legal obligations and justified legal claims. Closing an account does not erase every historical competition record or every record that also concerns another person. But the historical or shared nature of a record does not justify keeping all personal information indefinitely.
Accounts and technical identifiers. We keep account information while the account is used, then for any justified period needed for closure, security, disputes or legal obligations. Information no longer needed is deleted or anonymised. Sessions, verification codes and notification tokens are kept for their operational lifetime and removed when expired or obsolete.
Training, care, routes and uploaded images. We keep these to provide the training and care history and sharing they were recorded for. When records or accounts are deleted, personal information no longer needed is removed or anonymised. Where a record also concerns another user or a shared horse history, we assess any continuing need separately. Keeping information about a horse is not, on its own, a reason to keep a former rider's location history.
Assistant conversations. Training assistant and Orri conversations are kept while your account exists so you can return to them. You can delete an Orri conversation yourself, and all are deleted with your account.
Competition, breeding-show and foal-show records. Results, placings, marks and the competitor, judge, owner and breeder names attached to them are the record of a public sporting or breeding event. We keep them separately from account data to identify and validate historical results and support statistics across seasons. Records published by the Icelandic Equestrian Association through Sportfengur, and breeding records from WorldFengur, are those bodies' records, which we mirror. We do not delete them when an account closes. To have one changed or removed at source, contact the Icelandic Equestrian Association or WorldFengur. You can also ask us to hide your profile (see "Hidden profiles" above).
National identification numbers, email addresses and administrative details are assessed separately and are not automatically kept as long as results.
Administrative and financial records. Registrations, membership information and profile claims are kept as long as needed to administer participation, correct records, resolve fees or disputes and keep a justified audit trail. Financial records under Icelandic bookkeeping rules are generally kept for seven years from the end of the financial year, under Article 20 of Act No. 145/1994. This does not apply to every field in a registration.
Audience votes, invitations, preferences, analytics, logs and backups. These are kept for the life of the feature, any verification or dispute period, and troubleshooting or security needs. Minimal records may be kept to show that consent was given or withdrawn, or an objection respected. Backups expire on a defined schedule.
Deleting your account
You can delete your account at any time from within the app:
- HorseDay: Settings → Manage account & privacy → Delete account.
- HorseDay Events: Settings (the gear on the Home tab) → Delete account.
To make sure the request is yours, we email a six-digit code to the address on your account. The request is made once you enter it. Your account and the personal information connected to it are then deleted within 30 days. Until deletion starts you can keep using your account and withdraw the request from the same screen. We email you when deletion is complete.
Once deleted, an account cannot be restored, and it is not recreated when we import data from other systems. Deleting your account does not cancel an Apple or Google subscription; manage that in your app store's subscription settings. Uninstalling an app does not delete your account.
What deletion does not remove. Your login, email, national identification number, roles, training records and app data are deleted. Competition records are not:
- A federation competitor profile you claimed keeps its name and results; it is only disconnected from your account.
- Results of competitions run in HorseDay that you entered through your account stay part of that event's record, shown as "Deleted user".
If you also do not want your name shown with competition results, ask us to hide your profile. You can also ask for deletion of specific information without closing your account by writing to horseday@horseday.com.
What are your rights regarding the processing?
Subject to applicable law, you may request access to and a copy of your personal information, correction of inaccurate information, deletion or restriction of processing. Where processing is automated and based on consent or a contract, you may also request portability of information you provided.
Your right to object. You may object, on grounds relating to your situation, to processing based on legitimate interests. This includes owner information, competition publication, historical profiles and statistics. We must stop unless we show compelling overriding grounds or need the information for legal claims. Asking us to hide your profile is one way to object. You may object at any time to direct marketing, and we will stop using your information for it.
You may withdraw consent at any time without affecting earlier consent-based processing. You also have protections against solely automated decisions with legal or similarly significant effects.
Contact us at horseday@horseday.com. We respond without undue delay and normally within one month. If complexity or the number of requests means we need up to two further months, we will tell you why within the first month. We may ask for proportionate information to verify your identity. Requests are normally free of charge.
You may complain to Persónuvernd, the Icelandic Data Protection Authority, at postur@personuvernd.is, Laugavegur 166, 4th floor, 105 Reykjavík, Iceland, or to another competent supervisory authority.
Where do we get your information?
We get information directly from you, your device and your activity in the services. We may also receive it from other users who share with you or invite you to a team, and from parents, guardians, trainers, organisers and judges acting in their roles. Sign-in providers supply account information when you choose their sign-in method. We generate statistics and administrative records from the underlying information.
Other sources:
| Source | What we receive |
|---|---|
| Sportfengur (Icelandic Equestrian Association) | Rider and judge identities, national identifiers, emails where supplied, registrations, judging and results, back to 2004 |
| WorldFengur | Horse identity, pedigree, breeding assessments, breeding-show results, and registered owner and breeder names |
| LH and the gæðinga judges' association | Published lists of licensed judges: name, licence type, level, country |
| Clubs and sport unions (e.g. Abler) | Club membership, age group and division, matched by national identification number |
| Foal-show organisers (e.g. Sporti exports) | Foal entries: horse, birth date, sire, dam, owner and breeder |
Registered horse-owner names. The WorldFengur owner-display feature in Training & Care shows the registered owner's name with the horse. It supports owners and trainers in managing horse information and welfare. It is searched by horse, not by the owner's name.
Information received from others is not consent from you. Being public in another service does not by itself allow every use by HorseDay. You can ask where information about you came from and have inaccurate records corrected. The hidden-profile and under-18 rules apply to imported records too.
How do we secure the information?
We apply technical and organisational measures suited to the risks, including authentication and access controls. Where appropriate, measures also include encryption, pseudonymisation, recovery arrangements and testing of safeguards. Administrative access is limited to what each task needs. We handle security incidents and make notifications where legally required.
Who processes information on our behalf?
We use providers for hosting, authentication, media delivery, communications, diagnostics, analytics, notifications and AI. A provider acting for us processes only what its function needs, under a written agreement. The providers used depend on the service and feature.
| Provider | Used for |
|---|---|
| Neon | Competition and shared authentication databases |
| Cloudflare | Authentication infrastructure, servers, media storage and delivery |
| Sentry | Diagnostics; for identified Events users also account ID, name, email and event, class, registration, round and judge identifiers |
| PostHog | Events usage analytics with account ID, name and email |
| OneSignal | Push notifications: push tokens, device identifiers, platform |
| PowerSync, Mapbox | Training data sync and maps |
| OpenRouter, Cerebras, OpenAI | AI answers for the Training assistant and Orri; OpenAI also for search embeddings |
| Cohere | Search ranking for the Training assistant and Orri |
| Open-Meteo | Weather for training plans |
| Google, Apple, Facebook | Sign-in, under their own privacy terms |
Processors must follow our documented instructions, protect confidentiality, keep information secure and help with data-protection rights. Their use of sub-processors and the return or deletion of information are governed by the agreement. Organisations acting as separate controllers are responsible for their own processing.
We may also disclose information where the law or a binding request from a competent authority requires it, limited to what that requirement calls for.
How can you withdraw consent?
Where processing is based on consent, you can withdraw it as easily as you gave it. Manage device permissions in your device settings, stop push updates in notification settings, and unsubscribe from marketing using the email link or the app settings. Withdrawing consent does not by itself erase stored information; you can separately request deletion or delete your account. A withdrawal does not stop processing that rests on another legal basis, such as keeping an accounting record.
Some information is needed for a particular function, such as account details for sign-in or rider and horse details for a registration. Without it, that function may be unavailable. Optional profile fields are voluntary. Where we keep information after a deletion request, we explain why and what your rights are.
Do we process information about people who are not our users?
Yes. Registered horse owners and breeders appear in WorldFengur, breeding-show and foal-show records. People can also appear in training or care records, shared photographs or team invitations supplied by another user. Riders, judges, event staff and children appear in records from federations, clubs, organisers or guardians without having a HorseDay account. An invitation or another user's entry is not that person's consent to unrelated uses.
These people have the same data-protection rights, including the right to ask us to hide their profile. They do not need to create an account or claim a profile to contact us.
How do we process information about children?
Children may use training features and take part in equestrian events. Where a child is involved, we may process account or profile details, training and riding records, location, photographs, club and age-group information, registrations, horse associations, results and the relationship to a parent or guardian. We process only what the relevant service and its lawful purpose need.
No public profiles for children. A rider who may be under 18 has no public rider profile, as described under "Riders who may be under 18". Their name, club, horse and result appear only in the start lists and results of the events they rode in. These results are not anonymous, but nothing else is built from them: no profile, statistics, rankings, follows or search results. Their imported profile cannot be claimed until the protection ends, so it cannot be linked to an account.
Profiles a parent or guardian creates. A parent or guardian can create a profile for a child to manage their registrations. These are administrative records, never public profiles. They are visible only to the child, the parent or guardian and the people who need them to run the event.
Children's interests receive particular weight when we decide what to publish and who can access it. A child or an authorised parent or guardian can contact us about access, correction, publication, hiding or deletion.
Where we rely on consent to offer an online service directly to a child in Iceland, a child under 13 needs authorisation from the holder of parental responsibility, and we make reasonable efforts to verify it. Other countries may set different ages. This rule concerns consent-based online services; competition records do not depend on parental consent.
In Training & Care, particular care is needed with a child's routes, images and shared activities. The competition rules above do not govern who may see those training records.
How do we use permissions, analytics and marketing preferences?
Device permissions support specific functions: location for ride features, contacts for invitations, the image library for uploads, the microphone for dictation and notifications for updates. You can manage them in your device settings. Denying a permission can stop the related feature from working without affecting unrelated features.
Necessary session and security functions are separate from optional analytics and tracking. Where consent is required for cookies, app tracking or similar access to your device, we ask before the optional processing and let you refuse or withdraw.
If you choose to receive offers from HorseDay, we use your contact details and preferences for that. You can unsubscribe through the link in each message or in the app settings. Necessary account, security and service messages are separate from marketing.
Do we use automated analysis or decision-making?
For competition features, we automatically compile results into rider statistics, rankings, league standings, championship titles and comparisons between a judge's marks and the panel average. These can describe an identifiable rider's performance or a judge's marking patterns. They are never compiled for riders who may be under 18 or for hidden profiles.
Some checks are automatic: registration eligibility against club membership and event rules, judge assignments against licence requirements, and whether a rider may be under 18. Orri's answers are generated automatically and can be wrong; they are not decisions about you.
You have the protections the law gives against decisions based solely on automated processing that have legal or similarly significant effects. If such a decision is used, we explain its main factors and consequences and how to get human review and challenge it. If you think we have wrongly treated you as under 18, or as an adult, contact us and a person will check.
Prevailing law and disputes
This policy is governed by Icelandic law, including Act No. 90/2018 on Data Protection and the Processing of Personal Data and the GDPR as incorporated into Icelandic law. Disputes may be brought before the competent courts. Nothing in this policy limits your right to complain to a supervisory authority or bring proceedings in another competent jurisdiction.

Changes to this policy
